Greeting and Welcoming Visitors: Welcome visitors and direct them to the appropriate person or department. Provide a professional and friendly first impression of the organization. Answering Phone Calls: Manage incoming calls on a multi-line phone system. Answer inquiries, transfer calls to the appropriate individuals, and take messages when necessary. Scheduling and Managing Appointments: Schedule appointments and maintain calendars for meetings, conferences, and interviews. Coordinate room bookings and notify parties involved. Handling Mail and Deliveries: Receive, sort, and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and coordinate courier services as needed. Administrative Support: Assist with administrative tasks such as typing, filing, photocopying, and faxing documents. Maintain office supplies and ensure office equipment is in working order. Customer Service: Provide excellent customer service to clients, visitors, and employees. Address inquiries, provide information, and assist with resolving issues or directing them to the appropriate personnel. Maintaining Reception Area: Keep the reception area clean, organized, and presentable. Ensure reading materials and informational brochures are stocked and displayed neatly. Security and Access Control: Monitor and control access to the premises. Issue visitor badges or passes and ensure compliance with security procedures. Coordination with Other Departments: Collaborate with other departments to ensure seamless communication and coordination of tasks, especially regarding visitor arrivals and meeting schedules. Emergency Procedures: Be familiar with emergency procedures such as fire drills, evacuation routes, and first aid protocols. Remain calm and assist in emergencies as needed. Skills and Qualifications: Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally with individuals at all levels, both in person and over the phone.
