Data Entry and Record Keeping: Entering data into computer systems, maintaining electronic and physical filing systems, and organizing documents, records, and reports for easy retrieval. Customer Service: Providing customer service support by responding to inquiries, resolving issues, and assisting clients or visitors with their needs in a professional and courteous manner. Office Maintenance: Ensuring the cleanliness, orderliness, and safety of the office environment by organizing supplies, maintaining equipment, and coordinating maintenance and repairs as needed. Meeting and Event Coordination: Assisting with the planning, coordination, and execution of meetings, conferences, and special events. Arranging venues, coordinating schedules, and preparing meeting materials. Travel Arrangements: Making travel arrangements for staff, including booking flights, accommodations, transportation, and preparing travel itineraries. Ensuring compliance with travel policies and guidelines. Document Preparation: Drafting, formatting, and proofreading documents, reports, presentations, and other materials using word processing software (e.g., Microsoft Word, Google Docs). Expense Reporting: Processing and reconciling expense reports, invoices, and reimbursements. Verifying expenses, coding transactions, and submitting documentation for approval and reimbursement. Office Communication: Facilitating internal communication by distributing memos, announcements, and updates to staff. Managing office communication channels such as email distribution lists and bulletin boards. Supply Management: Monitoring office supplies inventory, ordering supplies as needed, and maintaining appropriate stock levels. Organizing supply closets and managing vendor relationships. Database Management: Assisting with database management tasks such as data entry, updating records, running queries, and generating reports. Ensuring data accuracy and integrity. Timekeeping and Attendance: Tracking employee time and attendance using timekeeping systems or software. Recording hours worked, absences, and vacation requests. Assistance to Management: Providing administrative support to managers and executives, including calendar management, meeting coordination, and preparing reports or presentations. Policy Compliance: Ensuring compliance with organizational policies, procedures, and guidelines related to office operations, confidentiality, and data security.
