Job description

Administrative Support: Providing general administrative support such as answering phones, handling correspondence (emails, letters, memos), and managing office supplies. Assisting with scheduling appointments, meetings, and travel arrangements for executives or team members. Data Entry and Record-Keeping: Entering data into databases, spreadsheets, or other software systems accurately and efficiently. Maintaining and updating records, files, and documentation as required by organizational policies. Customer Service: Serving as a point of contact for visitors, clients, or customers by greeting them, providing information, and directing inquiries to the appropriate staff members. Handling customer complaints or issues with professionalism and sensitivity. Communication and Correspondence: Drafting and preparing documents, reports, presentations, and communications for internal or external distribution. Ensuring accuracy and clarity in written communications and maintaining confidentiality when handling sensitive information. Office Maintenance and Organization: Maintaining cleanliness and organization of office spaces, conference rooms, and common areas. Managing office equipment and coordinating repairs or maintenance as needed. Financial and Accounting Support: Assisting with basic accounting tasks such as invoicing, billing, and processing expenses. Reconciling financial records and assisting with payroll preparation, if required. Technical and IT Support: Providing basic technical support related to office equipment, computers, printers, and software applications. Troubleshooting minor IT issues or escalating technical problems to the IT department or external service providers. Meeting and Event Coordination: Coordinating logistics for meetings, conferences, or events including room setup, catering arrangements, and audiovisual equipment setup. Assisting with preparing agendas, taking meeting minutes, and distributing follow-up materials. Compliance and Documentation: Ensuring compliance with organizational policies, procedures, and regulations. Maintaining confidentiality and security of sensitive information and documents. Team Collaboration and Support: Collaborating with colleagues and department heads to facilitate teamwork and achieve organizational goals. Supporting colleagues with tasks as needed to ensure efficient office operations and workflow.
