Job description

Administrative Support: Assist with general administrative tasks such as answering phones, responding to emails, managing calendars, and scheduling appointments. Handle incoming and outgoing correspondence and maintain organized filing systems. Guest Services: Provide assistance to guests by answering inquiries, making reservations, and addressing concerns or requests. Ensure that guests receive prompt and courteous service and that their needs are met during their stay. Reservation Management: Process room reservations, cancellations, and modifications using reservation software or systems. Coordinate with other departments, such as housekeeping and front desk, to ensure accurate room assignments and guest accommodations. Financial Transactions: Handle cash transactions, process payments, and reconcile daily revenue reports. Maintain accurate records of financial transactions, invoices, and receipts, and assist with billing and accounts receivable tasks. Inventory Management: Monitor and maintain inventory levels of office supplies, guest amenities, and promotional materials. Place orders for supplies as needed and ensure that stock levels are adequate to meet operational needs. Event Coordination: Assist with the planning and coordination of resort events, meetings, and conferences. Coordinate event logistics, such as room setups, audiovisual equipment, catering services, and guest accommodations. Data Entry and Reporting: Input data into databases, spreadsheets, and other software applications accurately and efficiently. Generate reports, analyze data, and prepare presentations or summaries for management review. Document Preparation: Prepare and format documents such as memos, letters, reports, and presentations. Proofread and edit documents for accuracy, clarity, and consistency before distribution. Technology Support: Provide basic technical support for office equipment, software applications, and communication systems. Troubleshoot common issues and escalate technical problems to IT support as needed. Team Collaboration: Collaborate with colleagues and department heads to coordinate tasks, share information, and support cross-functional teamwork. Communicate effectively with team members to ensure that objectives and deadlines are met.
