Administrative Support: Provide administrative support to various departments within the resort, including handling phone calls, managing correspondence, scheduling appointments, and organizing meetings. Customer Service: Assist guests with inquiries, requests, and reservations either in person, over the phone, or via email. Provide information about resort facilities, services, and amenities, and address guest concerns or complaints in a professional and courteous manner. Data Entry and Record-keeping: Input and maintain data in computerized systems, databases, or spreadsheets. This may include guest information, reservations, inventory records, financial transactions, or other administrative data. Document Preparation: Prepare and format documents, reports, presentations, and correspondence for internal and external distribution. Ensure accuracy, clarity, and adherence to resort standards and branding guidelines. Office Supplies Management: Monitor and replenish office supplies, stationery, and equipment as needed. Place orders for supplies, maintain inventory levels, and ensure cost-effective procurement practices. Filing and Organization: Maintain organized filing systems for documents, records, and administrative materials. Ensure confidentiality and security of sensitive information and adhere to data protection policies. Financial Transactions: Assist with financial transactions, such as processing payments, issuing receipts, reconciling accounts, and handling cash or credit card transactions. Follow established procedures and controls to ensure accuracy and accountability. Coordination and Communication: Coordinate communications and activities between different departments, staff members, and external stakeholders. Facilitate information flow, relay messages, and ensure timely responses to inquiries or requests. Guest Relations: Create a welcoming and hospitable environment for guests visiting the resort office. Greet guests, provide assistance as needed, and ensure their inquiries or concerns are addressed promptly and professionally. Technology Support: Provide basic technical support for office equipment, computers, software applications, and communication systems. Troubleshoot common issues, escalate technical problems to IT support staff if necessary, and assist with user training as needed. Event Planning Support: Assist with the planning, coordination, and execution of special events, meetings, conferences, or functions hosted by the resort. This may involve arranging venue logistics, coordinating catering services, managing guest RSVPs, and providing on-site support during events. Continuous Improvement: Identify opportunities for process improvement, efficiency enhancements, and service quality improvements within the office environment. Participate in staff meetings, training sessions, or feedback sessions to contribute ideas and suggestions for improvement.
