Administrative Assistants / Secretaries: Manage schedules, appointments, and travel arrangements for executives or team members. Handle incoming calls, emails, and correspondence, directing them as necessary. Maintain filing systems, databases, and records. Prepare reports, presentations, and documents as required. Coordinate office activities and operations to secure efficiency and compliance with company policies. Receptionists: Greet and welcome visitors, directing them to the appropriate person or department. Answer and manage incoming calls, taking messages and transferring calls as needed. Maintain office security by following safety procedures and controlling access via reception desk. Manage the booking of meeting rooms and scheduling of appointments. Data Entry Clerks: Enter data into databases or computer systems from paper documents or other formats. Verify accuracy of data and make necessary corrections. Update and maintain databases with recent information. Generate reports and perform administrative tasks as needed. Accounting and Finance Assistants: Assist in preparing financial statements, invoices, and reports. Process accounts payable and receivable transactions. Maintain financial records and reconcile accounts. Assist in budgeting and forecasting activities. Human Resources Assistants: Assist with recruitment and onboarding processes, including scheduling interviews and preparing documentation. Maintain employee records and HR databases. Assist in payroll processing and benefits administration. Coordinate HR projects and initiatives as assigned. Customer Service Representatives: Respond to customer inquiries and resolve complaints via phone, email, or in-person. Provide information about products or services, and handle customer orders and returns. Maintain customer records and ensure customer satisfaction. IT Support Assistants: Provide technical support to office staff for computer systems, software, and hardware. Install and configure computer systems, networks, and peripherals. Troubleshoot issues and resolve problems related to IT equipment and systems. Skills and Qualifications: Communication Skills: Clear and effective verbal and written communication.
