Job description

Administrative Support: Provide administrative assistance to management, sales teams, service advisors, and other staff members as needed. Perform tasks such as data entry, filing, photocopying, scanning, and document preparation to support daily operations. Customer Service: Greet customers, answer phones, and respond to inquiries in a professional and courteous manner. Provide information about products, services, pricing, and dealership policies to customers and visitors. Appointment Scheduling: Schedule appointments for vehicle sales, service, maintenance, and repairs using appointment scheduling software or manual systems. Coordinate appointment times with customers and service technicians to ensure efficient workflow. Inventory Management: Assist with inventory management tasks, including receiving shipments, checking inventory levels, and updating inventory records in the dealership's computer system. Coordinate with sales and service departments to track vehicle availability and locate specific models for customers. Data Entry and Record Keeping: Enter and maintain accurate records of customer information, vehicle sales, service transactions, and warranty claims in the dealership's database or customer relationship management (CRM) system. Ensure that records are organized and up-to-date for easy retrieval and reference. Cash Handling: Process cash, credit/debit card, and check payments for vehicle purchases, service invoices, and parts orders. Reconcile cash drawers and prepare bank deposits according to established procedures. Document Processing: Assist with processing vehicle sales contracts, lease agreements, financing paperwork, and other legal documents related to vehicle transactions. Ensure that all required documents are completed accurately and submitted to the appropriate departments or agencies. Communication and Correspondence: Draft, proofread, and distribute internal memos, emails, letters, and other correspondence as needed. Communicate effectively with customers, vendors, and colleagues to relay messages, schedule appointments, and coordinate activities. Office Supplies and Equipment: Monitor inventory levels of office supplies, stationery, and equipment and reorder items as needed. Ensure that office equipment such as computers, printers, and copiers are functioning properly and arrange for repairs or maintenance as necessary. Meeting and Event Coordination: Assist with scheduling meetings, appointments, and events for dealership staff, customers, and vendors. Coordinate logistics such as room reservations, catering, audiovisual equipment, and transportation arrangements. Compliance and Documentation: Ensure compliance with dealership policies, industry regulations, and legal requirements related to customer confidentiality, data protection, and document retention. Maintain confidentiality of sensitive information and safeguard customer records. Professional Development: Stay informed about changes in dealership procedures, automotive industry trends, and technological advancements relevant to office administration. Participate in training programs, workshops, and professional development opportunities to enhance job skills and knowledge.
