Job description

Administrative Support: Provide administrative support to office management and staff, including answering phones, managing correspondence, scheduling appointments, and organizing meetings. Data Entry and Record Keeping: Maintain accurate records and databases by entering and updating information such as employee records, client information, financial data, and inventory records. Document Preparation: Prepare and format documents, reports, presentations, and spreadsheets using word processing, spreadsheet, and presentation software. Customer Service: Serve as a point of contact for customers, clients, and visitors by greeting them, answering inquiries, and providing assistance or information as needed. Office Supplies Management: Monitor inventory levels of office supplies, equipment, and materials, and reorder supplies as necessary. Ensure office supplies are well-stocked and available for use by staff. Filing and Organization: Maintain organized filing systems for documents, records, and materials to facilitate easy retrieval and access. File documents alphabetically, numerically, or by category as appropriate. Mail Handling: Sort and distribute incoming mail and packages to appropriate recipients. Prepare outgoing mail for delivery or pickup by postal or courier services. Meeting and Event Coordination: Assist with the coordination and organization of meetings, events, conferences, and travel arrangements for staff members. Arrange meeting spaces, schedule appointments, and coordinate logistics as needed. Technical Support: Provide basic technical support and troubleshooting assistance for office equipment, computers, software applications, printers, and other technology devices used by staff. Collaboration and Communication: Communicate effectively with colleagues, supervisors, and external contacts to coordinate activities, exchange information, and ensure smooth workflow and operations. Policy Adherence: Ensure compliance with office policies, procedures, and protocols related to confidentiality, security, safety, and regulatory requirements. Teamwork: Collaborate with team members and other departments to achieve common goals, share responsibilities, and support each other in completing tasks and projects.
