Administrative Support: Provide administrative support to management and other staff members, including scheduling appointments, managing calendars, and handling correspondence (e.g., emails, phone calls, letters). Reception Duties: Greet visitors, answer incoming calls, and direct inquiries to the appropriate person or department. Manage the reception area and maintain a professional and welcoming atmosphere for guests. Data Entry and Recordkeeping: Enter data into computer systems, databases, or spreadsheets accurately and efficiently. Maintain organized and up-to-date records, files, and documentation. Filing and Document Management: Organize, file, and retrieve documents, records, and reports as needed. Ensure that documents are stored securely and confidential information is protected. Office Supplies Management: Monitor office supply levels, order supplies as needed, and maintain inventory records. Ensure that office supplies are stocked and available for use by staff members. Meeting and Event Coordination: Assist in the coordination of meetings, conferences, and events by scheduling meetings, reserving meeting rooms, arranging catering, and preparing meeting materials. Travel Arrangements: Coordinate travel arrangements for staff members, including booking flights, hotels, transportation, and travel visas as needed. Ensure that travel plans are organized and cost-effective. Expense Reporting: Assist staff members in preparing expense reports, reconciling receipts, and submitting expense claims for reimbursement. Ensure compliance with company policies and procedures related to expense reporting. Customer Service: Provide excellent customer service to clients, vendors, and visitors by addressing inquiries, resolving issues, and assisting with requests in a professional and courteous manner. Mail Handling: Sort and distribute incoming mail and packages. Prepare outgoing mail, including letters, packages, and shipments, and ensure timely delivery to the appropriate recipients. Technology Support: Provide basic technical support to staff members, such as troubleshooting computer issues, assisting with software applications, and setting up audiovisual equipment for meetings. Document Preparation: Assist in the preparation of documents, reports, presentations, and other materials as needed. Proofread documents for accuracy and completeness before distribution. Timekeeping and Attendance Tracking: Maintain accurate records of employee attendance, including timekeeping, vacation accruals, and sick leave. Prepare attendance reports and assist with payroll processing as required. Office Maintenance: Coordinate office maintenance and repairs, including facilities management, equipment maintenance, and cleaning services. Report any maintenance issues or safety concerns to the appropriate personnel. Team Collaboration: Collaborate with colleagues and team members to achieve common goals and objectives. Communicate effectively, share information, and contribute to a positive and productive work environment.
