Administrative Support: Provide administrative support to various departments within the organization. This may include tasks such as data entry, filing, photocopying, scanning, and document management. Reception Duties: Greet visitors, answer phone calls, and respond to inquiries in a professional and courteous manner. Direct visitors to the appropriate person or department and handle incoming and outgoing mail. Scheduling and Calendar Management: Assist in scheduling appointments, meetings, and conference calls. Maintain calendars for key staff members and ensure that schedules are updated and communicated effectively. Office Supplies Management: Monitor and maintain office supplies inventory, including stationery, paper, toner, and other supplies. Place orders for supplies as needed and ensure that adequate stock levels are maintained. Email and Correspondence: Manage email correspondence and respond to emails promptly. Draft and format emails, memos, and other correspondence as needed. Meeting and Event Support: Assist in the coordination of meetings, conferences, and events. This may include booking venues, arranging catering, preparing materials, and assisting with logistics. Data Entry and Record Keeping: Enter data into spreadsheets, databases, or other software systems accurately and efficiently. Maintain records, files, and databases in an organized and accessible manner. Financial Transactions: Assist with basic financial transactions such as processing invoices, expense reports, and purchase orders. Ensure that financial documents are accurate, properly coded, and submitted on time. Travel Arrangements: Assist with travel arrangements for staff members, including booking flights, hotels, and transportation. Prepare travel itineraries and ensure that travel plans are coordinated effectively. Customer Service: Provide excellent customer service to internal and external stakeholders. This may involve answering inquiries, resolving issues, and directing requests to the appropriate person or department. Multitasking and Prioritization: Manage multiple tasks and priorities effectively in a fast-paced environment. Stay organized and focused to ensure that deadlines are met and tasks are completed in a timely manner. Team Collaboration: Collaborate with colleagues and team members to support overall office operations. Communicate effectively, share information, and work together to achieve common goals.
