Job description

Administrative Support: Providing administrative support to various departments within the organization, including answering phones, responding to emails, scheduling appointments, and managing calendars. Data Entry and Record Keeping: Entering and maintaining accurate and up-to-date records, data, and files using computerized systems or manual filing methods. Document Preparation: Drafting, formatting, proofreading, and distributing documents such as letters, memos, reports, and presentations. Reception Duties: Greeting visitors, clients, and employees, directing them to the appropriate person or department, and managing the reception area. Office Supplies Management: Ordering, stocking, and organizing office supplies, equipment, and stationery to ensure availability for staff members. Meeting Coordination: Assisting in the coordination and logistics of meetings, including scheduling, room setup, audiovisual equipment setup, and preparing meeting materials. Travel Arrangements: Making travel arrangements for employees, including booking flights, accommodations, transportation, and preparing travel itineraries. Expense Reporting: Processing and reconciling employee expense reports, verifying receipts, and ensuring compliance with company policies and procedures. Customer Service: Providing basic customer service and support to clients, customers, and visitors, including answering inquiries and directing them to the appropriate person or department. Mail Handling: Sorting and distributing incoming mail and packages, preparing outgoing mail for pickup or delivery, and managing courier services. Filing and Organization: Organizing and maintaining filing systems, both physical and electronic, to ensure efficient retrieval and storage of documents and records. General Office Maintenance: Assisting in general office maintenance tasks, such as cleaning and tidying common areas, ensuring proper functioning of equipment, and reporting maintenance issues.
