Job description

Front Desk Reception: Greet patients, visitors, and clients in a warm and professional manner, providing assistance, information, and directions as needed. Answer phone calls, respond to inquiries, and schedule appointments using appointment scheduling software or systems. Appointment Scheduling and Patient Registration: Coordinate patient appointments, consultations, treatments, and follow-up visits, ensuring accuracy and efficiency in scheduling. Register new patients, collect demographic and insurance information, and verify insurance coverage to facilitate billing and reimbursement processes. Patient Intake and Records Management: Collect patient medical histories, consent forms, and other required documentation during the intake process, ensuring completeness and accuracy of patient records. Maintain electronic health records (EHR) or paper-based records, updating patient information, treatment notes, and billing details as necessary. Billing and Insurance Processing: Process patient payments, co-payments, and deductibles, using billing software or systems to generate invoices, statements, and payment receipts. Verify insurance eligibility, submit insurance claims, and follow up on claim denials or discrepancies to ensure timely reimbursement and revenue cycle management. Medical Transcription and Documentation: Transcribe physician notes, treatment plans, and medical correspondence accurately and promptly, maintaining confidentiality and adherence to privacy regulations. Assist healthcare providers in documenting patient encounters, test results, and treatment outcomes in patient records or electronic medical records (EMR) systems. Office Organization and Maintenance: Organize and maintain office supplies, equipment, and inventory, replenishing supplies as needed and ensuring proper functioning of office equipment. Coordinate office maintenance and repairs, liaising with facilities management or external vendors to address issues promptly. Correspondence and Communication: Manage incoming and outgoing mail, emails, and faxes, distributing correspondence to appropriate recipients and responding to routine inquiries or requests. Assist in drafting, editing, and proofreading written communications, reports, and documents for internal and external use. Data Entry and Recordkeeping: Enter data accurately and efficiently into electronic databases, spreadsheets, or other software applications, ensuring data integrity and compliance with privacy regulations. Maintain confidentiality of sensitive information, such as patient records, financial data, and personnel files, in accordance with HIPAA guidelines and clinic policies. Patient Support and Assistance: Provide support and assistance to patients and caregivers, addressing their needs, concerns, and inquiries with empathy and professionalism. Offer information about clinic services, treatment options, appointment availability, and insurance coverage, helping patients navigate the healthcare system effectively. Collaboration and Teamwork: Collaborate with healthcare providers, clinicians, and other office staff to ensure coordinated care delivery, effective communication, and positive patient experiences. Participate in team meetings, staff training sessions, and quality improvement initiatives to contribute to the overall success and growth of the clinic.
