Job description

Administrative Support: Provide general administrative support to the office, including answering phones, responding to emails, managing calendars, and handling correspondence. Data Entry: Enter and maintain data in spreadsheets, databases, and other software systems. Ensure accuracy and completeness of data entry tasks. Filing and Organization: Organize and maintain physical and electronic filing systems. File documents, records, and reports in a systematic and accessible manner. Scheduling: Schedule appointments, meetings, and events for employees and management. Coordinate calendars and resolve scheduling conflicts as needed. Customer Service: Assist customers, clients, and visitors by providing information, answering questions, and directing inquiries to the appropriate person or department. Document Preparation: Draft, format, and proofread documents such as letters, memos, reports, and presentations. Ensure documents adhere to organizational formatting and style guidelines. Office Supplies Management: Monitor inventory levels of office supplies and place orders as needed. Ensure adequate stock of supplies such as stationery, printer paper, ink cartridges, and other office materials. Meeting Coordination: Arrange meeting logistics, including reserving meeting rooms, coordinating audiovisual equipment, and preparing meeting materials. Attend meetings to record minutes and distribute notes. Travel Arrangements: Coordinate travel arrangements for employees, including booking flights, hotels, rental cars, and other transportation. Prepare travel itineraries and assist with travel expense reporting. Mail Handling: Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail for postage and shipment. Manage courier services and track packages as needed. Recordkeeping: Maintain records and databases of employee information, customer contacts, financial transactions, and other relevant data. Ensure confidentiality and security of sensitive information. Office Maintenance: Monitor and report maintenance issues in the office, such as equipment malfunctions, facility repairs, and cleanliness concerns. Liaise with building maintenance staff and vendors to address issues promptly. Multitasking: Handle multiple tasks and priorities simultaneously in a fast-paced environment. Prioritize tasks effectively and manage time efficiently to meet deadlines and commitments. Team Collaboration: Collaborate with colleagues and other departments to support cross-functional initiatives and projects. Communicate effectively and share information to ensure alignment and coordination. Professionalism: Represent the organization professionally in all interactions with internal and external stakeholders.
