Job description

Administrative Support: Perform general clerical duties, including answering phones, responding to emails, and managing correspondence. Maintain office supplies, order replacements as needed, and ensure that office equipment is functioning properly. Scheduling and Calendar Management: Manage calendars, schedule appointments, and coordinate meetings for resort staff and management. Arrange meeting rooms, send meeting reminders, and prepare agendas and meeting materials. Guest Services: Greet visitors and guests, provide information about the resort's amenities and services, and direct them to the appropriate departments or personnel. Assist with guest inquiries, reservations, and special requests to ensure a positive guest experience. Data Entry and Record Keeping: Input data into databases, spreadsheets, and other software applications accurately and efficiently. Maintain organized filing systems for documents, records, and reports, both in physical and electronic formats. Document Preparation: Draft, format, and proofread documents such as memos, letters, reports, and presentations. Ensure that documents are accurate, well-written, and conform to resort standards and guidelines. Meeting Coordination: Assist with the coordination of meetings, conferences, and events held at the resort. Arrange catering, audiovisual equipment, and other logistics as needed, and provide administrative support during events. Travel Arrangements: Assist staff with making travel arrangements, including booking flights, hotels, transportation, and other accommodations. Prepare travel itineraries, confirmations, and expense reports for reimbursement. Office Communication: Serve as a point of contact for internal and external communication, including routing calls, taking messages, and relaying information between departments. Ensure that communication channels are clear and effective. Correspondence Management: Prepare and distribute outgoing correspondence, including letters, emails, and faxes, on behalf of resort management and staff. Monitor incoming correspondence and prioritize action items for follow-up. Confidentiality and Discretion: Handle sensitive information and confidential matters with discretion and professionalism. Maintain confidentiality of resort records, employee information, and proprietary data at all times.
