Job description

Administrative Support: Providing administrative assistance to executives, managers, or other staff members. This may include tasks such as managing calendars, scheduling appointments and meetings, and handling correspondence (emails, letters, phone calls). Document Preparation: Drafting and editing various documents such as memos, reports, presentations, and spreadsheets. Secretary may also be responsible for proofreading documents for accuracy and formatting them appropriately. Data Entry and Record Keeping: Inputting data into databases or spreadsheets, maintaining accurate records, and organizing files both electronically and in hard copy. Communication Coordination: Serving as a liaison between the office and external parties such as clients, vendors, and other stakeholders. This involves answering inquiries, relaying messages, and coordinating communication effectively. Office Organization: Keeping the office environment organized and efficient. This includes managing office supplies, arranging for equipment maintenance or repairs, and ensuring that office protocols are followed. Meeting Support: Assisting with the preparation of meeting materials, setting up meeting rooms, taking meeting minutes, and distributing them to attendees afterward. Travel Arrangements: Making travel arrangements for staff members, including booking flights, hotels, transportation, and preparing travel itineraries. Reception Duties: Greeting visitors, answering phone calls, and directing inquiries to the appropriate person or department. In smaller offices, secretaries may also handle receptionist duties. Confidentiality: Handling sensitive information with discretion and maintaining confidentiality as needed. Problem Solving: Being resourceful and proactive in resolving issues or challenges that arise in the office environment. Technology Skills: Proficiency in using office software such as word processing, spreadsheet, and presentation software. Familiarity with email and calendar management tools is also essential. Time Management: Effectively managing multiple tasks and priorities to ensure deadlines are met and work is completed efficiently.
