Job description

Administrative Support: Providing administrative assistance to management, executives, and staff members, including scheduling meetings, managing calendars, and handling correspondence. Answering Calls and Emails: Handling incoming calls and emails, directing them to the appropriate person or department, and responding to general inquiries. Managing Correspondence: Drafting and editing correspondence, memos, reports, and other documents on behalf of management or staff members. Scheduling and Coordination: Scheduling appointments, meetings, and conference calls, and coordinating logistics such as room bookings, catering, and travel arrangements. Record Keeping and Filing: Maintaining organized and up-to-date records, files, and documents, both in physical and digital formats, and ensuring confidentiality of sensitive information. Reception Duties: Greeting visitors, clients, and employees as they arrive at the office, and providing them with assistance or directing them to the appropriate person or department. Office Supplies and Inventory: Ordering and maintaining office supplies, equipment, and inventory, and ensuring that office facilities are well-stocked and operational. Data Entry and Database Management: Entering data into databases, spreadsheets, and other software systems accurately and efficiently, and performing regular data maintenance tasks. Meeting Support: Assisting with meeting preparation, including preparing agendas, compiling meeting materials, taking meeting minutes, and following up on action items. Coordination with Vendors and Suppliers: Liaising with vendors, suppliers, and service providers to arrange deliveries, resolve issues, and ensure smooth operations. Assisting with Special Projects: Providing support for special projects, events, or initiatives as needed, including research, coordination, and administrative tasks. Customer Service: Providing excellent customer service to internal and external stakeholders, addressing their needs, inquiries, and concerns in a professional and courteous manner.
