Job description

Customer Service: Greet visitors, guests, or customers in a friendly and professional manner. Provide assistance, answer inquiries, and address concerns promptly and courteously. Ensure a positive and welcoming experience for all visitors. Reception Duties: Manage incoming calls, emails, and inquiries. Direct calls to the appropriate personnel or department and take messages as needed. Handle mail, packages, and deliveries and distribute them accordingly. Appointment Scheduling: Schedule appointments, meetings, or reservations for clients, customers, or employees. Coordinate schedules, confirm appointments, and update calendars to ensure efficient use of time and resources. Check-In and Check-Out: Assist guests or clients with the check-in and check-out process. Verify identification, collect payments, and provide necessary information or documentation. Ensure accuracy in billing and payment processing. Information and Resource Management: Provide information about products, services, facilities, or policies to customers or visitors. Maintain up-to-date knowledge of organizational offerings, promotions, events, and procedures. Direct inquiries to appropriate sources or resources. Administrative Support: Perform various administrative tasks to support office operations. This may include data entry, filing, photocopying, scanning, faxing, and typing correspondence or documents. Assist with office supplies management and inventory control. Security and Access Control: Monitor access to the premises, sign in visitors, issue visitor badges, and enforce security protocols. Maintain confidentiality and ensure compliance with security policies and procedures. Multitasking and Prioritization: Handle multiple tasks and responsibilities simultaneously while maintaining attention to detail and accuracy. Prioritize tasks based on urgency, importance, and customer needs. Conflict Resolution: Address and resolve customer complaints, conflicts, or issues in a timely and professional manner. Listen attentively to customer concerns, empathize with their experiences, and offer solutions or alternatives to resolve problems. Technology Proficiency: Use office equipment, computer systems, and software applications effectively. This may include operating a multi-line phone system, using word processing software, managing email accounts, and navigating internet browsers. Team Collaboration: Collaborate with other front office staff, colleagues, and departments to coordinate activities and provide seamless service. Communicate effectively and share relevant information to ensure a cohesive and supportive work environment.
