Greeting and Welcoming: Warmly welcoming visitors, clients, and customers as they arrive at the office or facility, and providing assistance as needed. Answering Inquiries: Fielding incoming calls, emails, and inquiries from customers, clients, and internal staff, and providing accurate and timely information or directing inquiries to the appropriate person or department. Appointment Scheduling: Managing appointment calendars and schedules for meetings, appointments, and events, and ensuring that appointments are accurately recorded and communicated to relevant parties. Customer Service: Providing excellent customer service by addressing customer needs, concerns, and inquiries in a professional, courteous, and helpful manner. Handling Correspondence: Sorting and distributing incoming mail, emails, and faxes, as well as preparing outgoing mail and packages, and ensuring that correspondence is handled promptly and efficiently. Managing Visitor Log: Maintaining a visitor log or register to record details of visitors, including their names, contact information, purpose of visit, and any other relevant details. Security and Access Control: Monitoring access to the premises, issuing visitor badges or passes, and following security protocols to ensure the safety and security of the facility and its occupants. Assisting with Administrative Tasks: Providing administrative support to various departments, such as data entry, filing, photocopying, and other clerical tasks, as needed. Maintaining Front Desk Area: Keeping the front desk area clean, organized, and presentable, including tidying up brochures, magazines, and other materials, and ensuring that the reception area reflects a professional image. Handling Emergencies: Responding calmly and efficiently to emergencies or crisis situations, such as medical emergencies or security incidents, and following established protocols to address the situation. Providing Directions and Information: Offering directions and information to visitors about the location of offices, meeting rooms, facilities, amenities, and nearby attractions. Collaborating with Other Departments: Working closely with other departments, such as security, facilities management, and administration, to coordinate activities and ensure seamless operations.
