Job description

Reception Duties: Greeting visitors, clients, and employees as they arrive at the office, providing a warm and professional welcome, and directing them to the appropriate person or department. Answering Phone Calls: Handling incoming phone calls, screening and transferring calls to the appropriate individuals or departments, and taking messages when necessary. Managing Correspondence: Sorting and distributing incoming mail and packages, as well as preparing outgoing mail and packages for shipment. Scheduling Appointments: Managing appointment calendars for executives, managers, or other team members, scheduling meetings, and coordinating room bookings as needed. Customer Service: Providing assistance and support to visitors, clients, and employees with inquiries, requests, or issues in a friendly and efficient manner. Administrative Support: Assisting with various administrative tasks, such as data entry, filing, photocopying, scanning, and organizing documents. Maintaining Office Supplies: Monitoring inventory levels of office supplies and equipment, placing orders for replenishment, and ensuring that necessary supplies are available for daily operations. Assisting with Travel Arrangements: Supporting employees with travel arrangements, including booking flights, hotels, transportation, and preparing travel itineraries when required. Security and Access Control: Monitoring access to the office premises, issuing visitor badges or access cards, and ensuring compliance with security procedures and protocols. Handling Cash Transactions: Processing cash payments, issuing receipts, and maintaining accurate records of transactions when applicable. Health and Safety Compliance: Ensuring compliance with health and safety regulations by maintaining a clean, organized, and hazard-free reception area and reporting any safety concerns to the appropriate personnel. Technology Support: Assisting visitors or employees with basic technical issues, such as connecting to Wi-Fi, troubleshooting printer problems, or accessing online resources. Event Coordination: Assisting with the planning and coordination of office events, meetings, or conferences, including arranging catering, setting up audiovisual equipment, and coordinating logistics. Maintaining Visitor Logs: Recording visitor information, including names, contact details, and purpose of visit, and maintaining visitor logs for security and administrative purposes. Professionalism and Confidentiality: Maintaining a professional demeanor, respecting confidentiality, and upholding ethical standards in all interactions and responsibilities as front office staff.
