Job description

Reception Duties: Greeting visitors, clients, and customers with a warm and welcoming demeanor, and directing them to the appropriate personnel or department. Answering Inquiries: Handling incoming calls, emails, and inquiries from clients, customers, and the public, providing information about the organization's products, services, or policies. Appointment Scheduling: Managing appointments, meetings, and reservations for clients, customers, staff members, or executives using scheduling software or traditional methods. Administrative Support: Providing administrative assistance to staff members and executives, including managing calendars, scheduling meetings, and assisting with document preparation and filing. Visitor Management: Registering visitors, issuing visitor badges, and maintaining visitor logs to ensure security and accountability in the office or facility. Mail Handling: Receiving, sorting, and distributing incoming mail and packages, as well as arranging for outgoing mail and courier services. Facilities Management: Coordinating maintenance and repair services for office equipment, facilities, and amenities to ensure a safe and functional work environment. Data Entry: Entering data into databases, spreadsheets, or other systems accurately and efficiently, and maintaining records for easy retrieval. Cash Handling: Managing cash transactions, processing payments, and maintaining cash drawers or registers, if applicable. Customer Service: Providing excellent customer service to all visitors, clients, and customers, addressing their needs and concerns promptly and professionally. Conflict Resolution: Resolving conflicts or addressing complaints from clients, customers, or visitors with tact and diplomacy, and escalating issues to management when necessary. Security Procedures: Following security protocols and procedures to ensure the safety and security of the office, including monitoring access control systems and responding to security incidents.
