Job description

Event Planning: Working closely with clients to understand their needs, objectives, and budget for the event. Developing event concepts, themes, and timelines based on client requirements. Venue Selection and Booking: Researching and selecting suitable venues for the event based on capacity, location, facilities, and budget. Negotiating contracts and securing bookings with venue owners or managers. Vendor Coordination: Hiring and managing vendors and suppliers such as caterers, decorators, audiovisual technicians, and entertainers. Negotiating contracts, coordinating logistics, and ensuring that vendors deliver services as agreed. Budget Management: Creating and managing event budgets, tracking expenses, and ensuring that costs stay within the allocated budget. Negotiating pricing with vendors to achieve cost savings where possible. Logistics Planning: Coordinating logistics for the event, including transportation, accommodation, equipment rentals, and setup/breakdown schedules. Ensuring that all logistical details are carefully planned and executed to ensure a smooth event experience. Event Promotion and Marketing: Developing marketing strategies to promote the event and attract attendees. This may include creating promotional materials, managing social media campaigns, and liaising with media partners for event coverage. RSVP Management: Managing guest lists, invitations, and RSVPs to track attendance and ensure that the event has the appropriate number of attendees. On-Site Management: Overseeing all aspects of the event on the day of the event, including setup, registration, guest arrival, program execution, and breakdown. Addressing any issues or emergencies that arise during the event and ensuring that everything runs smoothly. Client Communication: Maintaining regular communication with clients throughout the event planning process to provide updates, address concerns, and ensure that their expectations are met. Post-Event Evaluation: Conducting post-event evaluations to gather feedback from clients, vendors, and attendees. Analyzing event success and identifying areas for improvement for future events. Team Management: Leading and managing event staff, including coordinators, assistants, and volunteers. Providing guidance, support, and direction to ensure that everyone works together effectively to achieve event goals. Networking: Building and maintaining relationships with industry contacts, including vendors, suppliers, venues, and potential clients. Networking can help to secure partnerships, referrals, and future business opportunities.
