Job description

Assisting in Event Planning: Collaborating with the event manager to understand event requirements, objectives, budget, and timeline. Venue and Vendor Coordination: Researching and booking venues, as well as coordinating with vendors such as caterers, decorators, AV technicians, and entertainers. Ensuring vendors deliver services as per agreements. Logistics Management: Organizing event logistics, including transportation, accommodations, signage, seating arrangements, and equipment rentals. Scheduling and Timelines: Creating and maintaining detailed event schedules and timelines to ensure all tasks are completed on time. Attendee Management: Managing attendee registrations, RSVPs, and communications before and during the event. Budget Tracking: Assisting in managing event budgets, tracking expenses, and ensuring costs remain within budgetary constraints. On-site Coordination: Supporting the event manager during event setup, execution, and breakdown. This includes supervising staff, coordinating vendors, and addressing any on-site issues or changes as they arise. Communication and Correspondence: Liaising with clients, vendors, and attendees via email, phone calls, and meetings to provide updates, gather information, and ensure all parties are informed. Event Promotion: Assisting with event promotion and marketing efforts, including social media posts, email campaigns, and distribution of promotional materials. Documentation and Reporting: Maintaining accurate records, preparing post-event reports, and conducting evaluations to assess the success of the event and gather feedback for future improvements. Problem Solving: Resolving any logistical or operational issues that may arise during the planning or execution phases of the event. Adaptability and Flexibility: Being adaptable to changes and flexible in managing multiple tasks and priorities in a fast-paced environment.
