Job description

Generating Invoices: Creating and issuing invoices to customers or clients for products or services rendered. This involves accurately recording transaction details such as quantities, prices, discounts, and payment terms. Verifying Billing Information: Reviewing sales orders, contracts, or service agreements to ensure that billing information is accurate and aligned with the terms of the agreement. Addressing Billing Inquiries: Responding to customer inquiries regarding billing statements, payment terms, and account balances. Billing staff may communicate with customers via phone, email, or in-person interactions to resolve billing-related issues or discrepancies. Processing Payments: Receiving and processing payments from customers, including checks, credit card payments, electronic funds transfers (EFTs), and other payment methods. They ensure that payments are applied correctly to customer accounts and reconciled with invoices. Collections Management: Monitoring accounts receivable aging reports to identify overdue accounts and follow up with customers to collect outstanding balances. Billing staff may send reminders, statements, or past-due notices and escalate collection efforts as needed. Maintaining Billing Records: Keeping accurate and organized records of billing transactions, payment receipts, and customer communications. This may involve using billing software or accounting systems to track and manage billing data. Resolving Billing Disputes: Investigating and resolving billing disputes or discrepancies with customers, internal departments, or third-party vendors. Billing staff work to address issues promptly and ensure that customer concerns are resolved satisfactorily. Billing Reporting: Generating billing reports and financial analysis to track billing performance, identify trends, and assess the effectiveness of billing processes. This information may be used to make recommendations for process improvements or revenue optimization. Compliance and Documentation: Ensuring compliance with billing policies, regulatory requirements, and industry standards.
