Job description

Generating Invoices: Billing staff create invoices or billing statements based on the products sold or services provided to customers or clients. They ensure that invoices are accurate, itemized, and include all relevant details such as quantities, prices, and payment terms. Verifying Billing Information: Before sending out invoices, billing staff verify the accuracy of billing information, such as customer or client names, addresses, account numbers, and billing rates. They may cross-reference information with sales orders, contracts, or service agreements to ensure consistency and accuracy. Processing Payments: Billing staff process payments received from customers or clients, whether by cash, check, credit card, electronic funds transfer (EFT), or other payment methods. They record payment details in accounting software or databases and issue receipts or confirmation notices to customers. Following up on Outstanding Payments: Billing staff monitor accounts receivable and follow up with customers or clients who have outstanding balances or overdue invoices. They may send reminders, statements, or collection notices to prompt payment and resolve any billing discrepancies or disputes. Handling Billing Inquiries: Billing staff respond to customer inquiries or concerns regarding billing issues, payment discrepancies, or account balances. They provide assistance, explanations, or resolutions to address customer concerns and ensure customer satisfaction. Maintaining Billing Records: Billing staff maintain accurate records of invoices, payments, adjustments, and account transactions in accounting systems or databases. They organize and archive billing documents for record-keeping and auditing purposes. Reconciling Accounts: Billing staff reconcile billing records with financial statements, bank deposits, and other financial records to ensure accuracy and completeness. They identify and investigate discrepancies or irregularities and take corrective actions as needed. Adhering to Billing Policies and Regulations: Billing staff ensure compliance with company billing policies, industry regulations, and legal requirements related to billing practices, data privacy, and consumer protection. They stay informed about relevant laws and regulations and implement procedures to mitigate risks and ensure compliance. Collaborating with Other Departments: Billing staff collaborate with other departments such as sales, customer service, accounting, and collections to address billing-related issues, resolve disputes, and improve billing processes and procedures.
