Data Entry and Management: Enter and maintain accurate data in databases, spreadsheets, and other electronic systems. Organize and update records, documents, and files to ensure accessibility and efficiency in data retrieval. Administrative Support: Provide administrative assistance to various departments within the organization, including scheduling appointments, preparing documents, and handling correspondence. Assist with office tasks such as filing, photocopying, and scanning as needed. Processing Transactions: Process transactions, invoices, purchase orders, and expense reports accurately and in a timely manner. Verify and reconcile financial data to ensure accuracy and compliance with accounting principles. Order Processing: Manage orders, shipments, and inventory levels to fulfill customer orders and maintain adequate stock levels. Coordinate with suppliers, logistics providers, and internal departments to ensure timely order fulfillment and delivery. Customer Service Support: Assist with customer inquiries, requests, and issues by providing information, troubleshooting problems, and resolving concerns. Liaise with customer service representatives or frontline staff to address customer needs effectively. Financial Recordkeeping: Assist with financial recordkeeping tasks, including accounts payable, accounts receivable, and payroll processing. Prepare financial reports, statements, and reconciliations to support financial decision-making and reporting requirements. Document Management: Manage documents and records, including scanning, indexing, and archiving documents in electronic or physical filing systems. Ensure compliance with document retention policies and regulations. Quality Assurance and Compliance: Ensure compliance with organizational policies, procedures, and regulatory requirements in all back-office activities. Perform quality checks, audits, and reviews to identify and resolve discrepancies or non-compliance issues. Technology and Systems Support: Use office software applications, databases, and systems proficiently to perform back-office tasks efficiently. Troubleshoot technical issues, provide user support, and collaborate with IT staff to resolve system problems. Report Generation and Analysis: Generate reports, dashboards, and analytics to summarize back-office operations, performance metrics, and key indicators. Analyze data trends, identify areas for improvement, and recommend process enhancements or efficiencies. Project Coordination: Assist with project coordination and management tasks, such as scheduling meetings, tracking project milestones, and communicating project updates to stakeholders. Collaborate with project teams to ensure project deliverables are met on time and within budget. Inventory Management: Monitor inventory levels, track stock movements, and coordinate inventory replenishment activities. Conduct periodic inventory audits to ensure accuracy and minimize discrepancies. Risk Management: Identify potential risks, issues, or gaps in back-office processes and systems. Implement risk mitigation strategies, controls, and safeguards to minimize operational risks and ensure business continuity. Training and Development Support: Assist with training and development initiatives for back-office staff to enhance their skills, knowledge, and productivity. Provide support materials, resources, and guidance to facilitate learning and development activities.
