Job description

Administrative Support: Provide administrative support to various departments within the organization, including human resources, finance, accounting, procurement, and operations. Perform tasks such as data entry, filing, recordkeeping, document management, and correspondence handling. Data Processing and Management: Process and manage data related to employee records, customer information, financial transactions, inventory levels, and other business data. Ensure data accuracy, integrity, and security through proper documentation, validation, and storage procedures. Accounting and Finance: Handle accounting and financial functions, such as accounts payable, accounts receivable, payroll processing, invoicing, budgeting, and financial reporting. Maintain accurate financial records, reconcile accounts, and assist with financial analysis and forecasting. Human Resources Management: Support human resources activities, including recruitment, onboarding, employee benefits administration, performance management, training coordination, and personnel recordkeeping. Ensure compliance with employment laws, regulations, and company policies. Procurement and Supply Chain: Assist with procurement processes, vendor management, purchase order processing, inventory control, and supply chain coordination. Coordinate with suppliers, negotiate contracts, track shipments, and manage procurement documentation. IT Support and Operations: Provide technical support and assistance for IT systems, software applications, hardware devices, and network infrastructure. Troubleshoot technical issues, perform system maintenance tasks, and ensure data security and backup procedures are followed. Customer Support and Service: Provide back-end support for customer service activities, including order processing, returns handling, billing inquiries, and complaint resolution. Collaborate with front-line customer service representatives to address customer needs efficiently and effectively. Compliance and Risk Management: Ensure compliance with regulatory requirements, industry standards, and internal policies across various business functions. Monitor regulatory changes, conduct internal audits, and implement risk management measures to mitigate potential risks and liabilities. Document Management and Recordkeeping: Establish and maintain efficient document management systems and recordkeeping practices. Organize, classify, and archive documents and records in accordance with retention policies and legal requirements. Quality Assurance and Process Improvement: Implement quality assurance processes, standards, and metrics to monitor and improve back-office operations. Identify inefficiencies, bottlenecks, and areas for process optimization through data analysis and continuous improvement initiatives. Project Coordination and Support: Assist with project coordination, planning, and execution for various organizational initiatives, such as system upgrades, process redesign, or organizational restructuring. Provide administrative support, track project progress, and facilitate communication among project team members. Internal Communication and Coordination: Facilitate communication and collaboration among different departments, teams, and stakeholders within the organization. Coordinate meetings, disseminate information, and foster teamwork to achieve common goals and objectives. Performance Monitoring and Reporting: Monitor key performance indicators (KPIs) and metrics related to back-office functions and activities. Prepare reports, dashboards, and analyses to track performance, identify trends, and support decision-making by management. Training and Development: Provide training and development opportunities for back-office staff to enhance their skills, knowledge, and productivity. Conduct training sessions, workshops, or online courses on relevant topics, tools, and technologies. Customer Relationship Management (CRM): Manage customer data, interactions, and relationships using CRM software or databases. Ensure accurate and up-to-date customer records, track customer interactions, and support customer retention and loyalty initiatives.
