Job description

Administrative Support: Provide administrative support to various departments within the organization, including scheduling meetings, managing calendars, handling correspondence, and organizing documents. Data Entry and Processing: Input, manage, and process data related to business transactions, customer information, inventory records, financial transactions, and other operational data using software applications or databases. Record Keeping and Documentation: Maintain accurate and organized records, files, and documentation of business activities, transactions, contracts, and agreements. Ensure compliance with record-keeping requirements and data privacy regulations. Accounting and Finance: Handle financial transactions, accounts payable and receivable, invoicing, billing, and reconciliation processes. Assist with budgeting, financial reporting, and analysis tasks to support decision-making and financial planning. Human Resources (HR) Support: Assist HR departments with recruitment processes, employee onboarding, payroll processing, benefits administration, performance evaluations, and personnel record management. Inventory Management: Monitor and manage inventory levels, stock movements, and procurement processes. Coordinate with suppliers, vendors, and logistics providers to ensure timely delivery and availability of goods and materials. Operations Support: Provide operational support to various departments, such as logistics, supply chain management, procurement, facilities management, and project coordination. IT Support and Systems Maintenance: Provide technical support for internal IT systems, hardware, and software applications used by employees. Assist with troubleshooting technical issues, software updates, and system maintenance tasks. Compliance and Regulatory Compliance: Ensure compliance with industry regulations, legal requirements, and internal policies governing business operations, data privacy, financial reporting, and corporate governance. Customer Service Back-Up: Provide back-up support for customer service functions during peak periods, handling customer inquiries, resolving issues, and ensuring customer satisfaction. Risk Management and Security: Identify and mitigate operational risks, security threats, and vulnerabilities in back-office processes, systems, and procedures. Implement measures to safeguard sensitive data and protect against fraud, cyber threats, and security breaches. Reporting and Analysis: Generate reports, metrics, and performance indicators to monitor back-office operations, track key performance indicators (KPIs), and support decision-making by management.
