Job description

Administrative Support: Provide administrative support to various departments within the automotive company, including human resources, finance, accounting, sales, and marketing. Perform tasks such as data entry, filing, record-keeping, and correspondence management. Data Management: Manage and organize data related to automotive operations, including customer information, inventory records, sales data, and financial transactions. Maintain accurate and up-to-date databases and systems to support decision-making and reporting. Document Processing: Process documents related to vehicle sales, purchases, leases, and service transactions. Review contracts, agreements, and paperwork to ensure accuracy and completeness. Coordinate with relevant departments to obtain necessary approvals and signatures. Inventory Management: Assist with inventory management activities, including stock tracking, replenishment, and reconciliation. Monitor inventory levels, identify slow-moving or obsolete stock, and coordinate with suppliers to manage inventory levels effectively. Financial Operations: Support financial operations such as accounts payable, accounts receivable, billing, invoicing, and expense management. Assist with financial reporting, budgeting, forecasting, and variance analysis as needed. Customer Support: Provide support to customers through phone, email, or online channels. Address customer inquiries, resolve issues, and provide assistance with order processing, scheduling, and service appointments. Vendor Management: Coordinate with vendors, suppliers, and contractors to facilitate procurement activities, negotiate contracts, and manage vendor relationships. Ensure timely delivery of goods and services and resolve any issues or disputes with vendors. Compliance and Regulatory Support: Assist with compliance activities related to regulatory requirements, industry standards, and internal policies. Ensure adherence to legal and regulatory guidelines governing automotive operations. Technology Support: Provide technical support for software applications, systems, and tools used in back office operations. Troubleshoot issues, assist users with software functionalities, and liaise with IT support for resolution of technical problems. Reporting and Analysis: Generate reports, dashboards, and analytics to track key performance indicators (KPIs), monitor business metrics, and analyze trends. Provide insights and recommendations based on data analysis to support decision-making and strategic planning. Process Improvement: Identify opportunities for process improvement and efficiency enhancement in back office operations. Streamline workflows, implement automation tools, and optimize procedures to increase productivity and reduce costs. Team Collaboration: Collaborate with colleagues and stakeholders across different departments to ensure alignment of back office activities with organizational goals and objectives. Communicate effectively and foster a culture of teamwork and cooperation.
