Job description

Administrative Support: Provide administrative support to various departments within the organization, including handling correspondence, scheduling appointments, organizing meetings, and managing office supplies. Data Entry and Management: Enter, update, and maintain data in databases, spreadsheets, and other digital systems. Ensure data accuracy, integrity, and security by following established protocols and procedures. Document Processing: Process and file documents, forms, and records related to business operations, such as invoices, purchase orders, contracts, and employee paperwork. Maintain organized filing systems for easy retrieval of documents when needed. Accounting and Finance: Assist with accounting tasks such as accounts payable, accounts receivable, billing, invoicing, and expense tracking. Prepare financial reports, reconcile accounts, and assist with budgeting and forecasting as needed. Human Resources Support: Support human resources functions such as recruitment, onboarding, payroll processing, benefits administration, and employee relations. Maintain employee records, assist with HR inquiries, and coordinate training programs or events. IT Support: Provide basic IT support and troubleshooting assistance to employees, including computer setup, software installation, password resets, and troubleshooting common technical issues. Escalate complex IT problems to the appropriate support team or vendor. Compliance and Regulatory Compliance: Ensure compliance with regulatory requirements, industry standards, and internal policies by monitoring and enforcing adherence to relevant guidelines. Assist with compliance audits, document compliance activities, and implement corrective actions as needed. Customer Service Back-Up: Serve as a back-up resource for customer service teams during peak periods, holidays, or staff shortages. Handle customer inquiries, resolve issues, and provide support via phone, email, or chat as needed. Inventory Management: Assist with inventory control and management by tracking inventory levels, conducting stock counts, and coordinating replenishment orders. Ensure accuracy of inventory records and assist with inventory reconciliation processes. Report Generation: Generate reports, dashboards, and analytics to provide insights into business performance, operational metrics, and key performance indicators (KPIs). Prepare regular reports for management review and decision-making purposes. Project Coordination: Assist with project coordination and management tasks, such as scheduling meetings, tracking project milestones, updating project documentation, and facilitating communication between team members. Process Improvement: Identify opportunities for process improvement and efficiency gains within the back-office operations. Collaborate with team members and managers to implement changes, streamline workflows, and optimize productivity.
