Job description

General Office Management: Oversee day-to-day office operations, including maintaining office supplies, equipment, and facilities. Ensure a clean, organized, and professional office environment. Administrative Support: Provide administrative support to management and staff, including scheduling meetings, handling correspondence, organizing files, and maintaining records. Human Resources Management: Assist with recruitment and onboarding processes, maintain employee records, manage employee benefits, and coordinate training programs. Handle employee inquiries and support HR activities as needed. Financial Administration: Assist with budget preparation and monitoring, expense tracking, and financial reporting. Handle accounts payable and receivable tasks, invoice processing, and vendor management. Policy and Procedure Development: Assist in developing and implementing organizational policies, procedures, and guidelines. Ensure compliance with company policies and regulatory requirements. Communication and Coordination: Facilitate communication between departments, management, and external stakeholders. Coordinate logistics for meetings, events, conferences, and travel arrangements. Customer and Public Relations: Interact with customers, clients, and the public to address inquiries, resolve issues, and maintain positive relationships. Provide information and assistance as a representative of the organization. Project Management Support: Assist with project planning, tracking progress, and coordinating project activities. Provide administrative support to project teams and ensure deadlines are met. IT and Technical Support: Provide basic technical support and troubleshooting assistance related to office equipment, computers, and software systems. Liaise with IT support for more complex technical issues. Risk Management: Assist in identifying and managing organizational risks. Maintain security protocols, emergency procedures, and business continuity plans to ensure the safety and security of employees and assets. Legal and Compliance Support: Assist with legal documentation, contract management, and compliance with regulatory requirements. Maintain confidentiality and handle sensitive information appropriately. Continuous Improvement: Identify opportunities for process improvement and efficiency in administrative tasks. Implement changes to streamline workflows, reduce costs, and enhance overall organizational effectiveness.
