Job description

Office Management: Oversee the day-to-day operations of the office, including managing administrative staff, scheduling meetings, and maintaining office supplies and equipment. Customer Service: Provide excellent customer service to clients, customers, and visitors. Respond to inquiries, resolve issues, and ensure customer satisfaction with the services provided by the automotive company. Data Entry and Record Keeping: Enter data into computer systems, databases, and spreadsheets to maintain accurate records of inventory, sales transactions, customer information, and other administrative data. Document Management: Organize and maintain physical and digital files, documents, and records related to automotive operations, including invoices, contracts, correspondence, and regulatory documents. Human Resources Support: Assist with human resources functions, such as employee onboarding, payroll processing, benefits administration, and maintaining employee records. Coordinate recruitment efforts and support HR initiatives as needed. Financial Administration: Assist with financial tasks, such as accounts payable, accounts receivable, invoicing, and expense reporting. Prepare financial reports, reconcile accounts, and assist with budget management as directed. Procurement and Purchasing: Coordinate procurement activities, including sourcing vendors, obtaining price quotes, issuing purchase orders, and tracking inventory levels. Ensure timely delivery of supplies and equipment needed for automotive operations. Meeting and Event Coordination: Schedule and coordinate meetings, appointments, and events for automotive staff, clients, and stakeholders. Arrange facilities, catering, and logistics as needed for meetings, conferences, and special events. Correspondence and Communication: Draft, proofread, and distribute internal and external correspondence, including emails, letters, memos, and reports. Communicate effectively with employees, customers, suppliers, and other stakeholders. Facilities Management: Oversee the maintenance and cleanliness of automotive facilities, including office buildings, service centers, and manufacturing plants. Coordinate repairs, renovations, and facility upgrades as necessary. Regulatory Compliance: Ensure compliance with applicable laws, regulations, and industry standards governing automotive operations. Stay updated on regulatory changes and implement necessary measures to maintain compliance. Health and Safety: Promote a safe and healthy work environment by enforcing safety protocols, conducting safety inspections, and providing training on workplace safety practices. Address any safety concerns or hazards promptly. Quality Assurance: Assist with quality assurance initiatives to ensure that products and services meet quality standards and customer expectations. Monitor quality metrics, implement corrective actions, and support continuous improvement efforts. Technology and Systems Support: Provide technical support for office equipment, software applications, and communication systems used in automotive operations. Troubleshoot issues, perform software updates, and train users on system functionalities. Administrative Reporting: Prepare and present administrative reports, metrics, and KPIs to management to track performance, identify areas for improvement, and support decision-making processes.
